We are seeking a skilled and motivated Project Coordinator who excels in communication and possesses the ability to handle tough stakeholders (Internal and External) effectively. As a key member of our project management team, you will play a critical role in facilitating project execution, project tracking, ensuring clear communication channels, and managing challenging stakeholders. Your adeptness at communication, problem-solving, and relationship management will contribute significantly to the success of our projects.

Responsibilities:

Project Coordination:
Assist the Solutions Architect and Account Manager in organizing, scheduling, and coordinating project and people-related activities. Ensure tasks are assigned, deadlines are met, and resources are allocated effectively to achieve project goals.

Documentation: 
Maintain accurate and up-to-date project documentation, including meeting minutes, action items, and project plans. Ensure that project records are well-organized and easily accessible for reference.

Status Reporting: 
Regularly provide project status updates to stakeholders, highlighting achievements, potential risks, and upcoming milestones. Create reports that offer insights into project progress and address concerns or queries from stakeholders.

Conflict Management:
Utilize strong conflict resolution skills to manage disagreements and differing viewpoints among stakeholders. Find common ground and guide discussions toward constructive outcomes.

Team Collaboration:
Foster a collaborative atmosphere within the project team by facilitating effective communication, promoting knowledge sharing, and encouraging a positive team dynamic.
 
Primary / Basic Expectation:

Project Coordination & Support:

Assist Project Managers in planning and executing project timelines and activities.
Ensure that project tasks are aligned with the schedule and that all milestones are tracked and met.
Organize and facilitate project meetings, track action items, and follow up on deliverables.

Shift Rostering & Workforce Management:

Develop, manage, and maintain shift rosters for project teams, ensuring adequate coverage and optimal resource allocation.
Coordinate with HR and team leaders to ensure that shifts align with workforce availability and project needs.
Adjust shift schedules in response to any staffing changes, absences, or emergencies, ensuring minimal disruption to project progress.
Ensure the 24x7 shift coverage requirements are met and optimized for project execution.
Task Management & Scheduling:
Track and manage project tasks and activities, ensuring deadlines are met and resources are allocated appropriately.
Work with the project team to prioritize tasks, manage dependencies, and adjust schedules, as necessary.
Maintain and update project schedules, providing regular updates to the team and stakeholders on progress.

Stakeholder Communication:

Communicate shift schedules, project updates, and changes to all relevant stakeholders, ensuring transparency and alignment.
Address concerns regarding workforce availability or scheduling conflicts promptly.
Act as the main point of contact for shift-related queries and help resolve any related issues.
Documentation & Reporting:
Keep detailed records of shift schedules, task assignments, and project progress.
Prepare and update reports on workforce utilization, shift performance, project status for internal and external stakeholders.
Ensure that all project documentation, including schedules and task lists, are organized and easily accessible.

Risk & Issue Management:

Identify any potential risks or bottlenecks related to shift scheduling and workforce availability.
Assist in developing contingency plans to address potential scheduling conflicts or staffing shortages.
Support the Project team in mitigating risks and resolving issues.
Identify potential risks and bottlenecks that could affect project timelines or quality.

Process Improvement:
Continuously evaluate the efficiency of rostering and scheduling processes and suggest improvements.
Ensure the implementation of best practices in shift scheduling and resource allocation.
Look for ways to optimize shift management and reduce operational disruptions.
